1. Introduction

NH SportsHouse LLC, doing business as NH SportsHouse ("NH SportsHouse," "we," "us," or "our"), operates nhsportshouse.com and a sports training facility in Manchester, New Hampshire. We work with families and youth athletes, so we take the handling of personal information seriously.

This Privacy Policy explains what information we collect, why we collect it, who we share it with, and the choices you have. It applies to our website, our online booking and registration systems, our email and text communications, and our in person programs.

By using our website or registering for our Services, you agree to the practices described here. This policy works alongside our Terms of Service.

2. Information We Collect

Information you give us

  • Account and contact information. Name, email address, mailing address, phone number, and password.

  • Participant information. Athlete name, date of birth, age or grade, gender, sport, team or school affiliation, and skill or position information used for placement.

  • Emergency information. Emergency contact names and phone numbers, and any medical notes, allergies, or physical limitations a parent or guardian chooses to share with our staff so we can respond appropriately during a session.

  • Booking and registration details. Programs, rentals, lessons, memberships, and session history.

  • Payment information. Billing name, billing address, and the last four digits of your card. Full card numbers are entered directly into our payment platforms and are never stored on our systems.

  • Communications. Messages you send us by email, text, contact form, or social media, and any reviews or feedback you submit.

Information collected automatically

When you visit nhsportshouse.com, we and our analytics partners may collect IP address, browser type, device type, operating system, referring page, pages viewed, time on site, and general location at the city level. This happens through cookies and similar technologies described in Section 6.

Information from other sources

We may receive information from our registration and scheduling platform, our payment processor, teams and clubs that book with us, and social media platforms when you interact with our pages or ads.

3. How We Use Your Information

We use personal information to:

  • Create and manage your account and process your bookings, registrations, and memberships.

  • Take payment and issue receipts, credits, and invoices.

  • Communicate about schedules, closures, roster placement, waitlists, and account matters.

  • Provide safe supervision and respond to injuries or emergencies at the facility.

  • Send marketing about camps, clinics, leagues, tryouts, memberships, and events, where permitted.

  • Improve our programs, staffing, hours, and website experience.

  • Prevent fraud, enforce our Terms of Service, and comply with legal obligations.

We do not sell your personal information, and we do not rent or trade participant information to other organizations.

4. Email and Text Messages

When you register or create an account, you agree to receive transactional messages about your bookings, payments, and schedule changes. These are part of the service and continue while your account is active.

You may also receive marketing messages about programs and events. You can opt out at any time by using the unsubscribe link in any marketing email or by replying STOP to a marketing text. Opting out of marketing does not stop transactional messages about a booking you have made.

Message frequency varies. Message and data rates may apply. We do not share mobile numbers with third parties for their own marketing.

5. How We Share Information

We share personal information only in these situations:

  • Service providers. Companies that run our operations under contract, including Stripe and Upper Hand for payments, registration, and scheduling, our email marketing platform, our website host, and our analytics providers. They may use your information only to perform services for us.

  • Coaches and program staff. Our instructors, coaches, and contractors receive the participant, roster, and emergency information they need to run a session safely.

  • Teams and organizations. If you register through a club, team, school, or league, we may share participation and payment status with that organization.

  • Safety and legal reasons. When we believe disclosure is necessary to respond to a medical emergency, protect the safety of a participant or our staff, comply with a law or court order, or enforce our agreements.

  • Business transfers. If NH SportsHouse is sold, merged, or reorganized, customer information may transfer as part of that transaction.

6. Cookies, Analytics, and Advertising

We use cookies and similar technologies to keep you logged in, remember preferences, measure site traffic, and understand which pages and programs draw interest.

We may use analytics and advertising tools such as Google Analytics and social media advertising pixels. These tools may set their own cookies and may be used to show you our ads on other sites and platforms after you visit ours.

You can control cookies through your browser settings. Blocking cookies may affect booking and account features. Some browsers offer a Do Not Track signal, which we do not currently respond to in a standardized way.

7. Children's Privacy

Our programs serve youth athletes, but our website and registration systems are built for adults.

We do not knowingly collect personal information directly from children under 13. Registration for a participant under 18 must be completed by a parent or legal guardian, who provides the participant information and consents to this policy on the child's behalf.

We collect only the participant information we need to run our programs safely, and we limit staff access to it. If you believe a child has given us information without a parent's involvement, contact admin@nhsportshouse.com and we will delete it.

8. Photographs and Video

We photograph and record activity at our facility for promotional and instructional use, as described in our Terms of Service. Images and video that include your participant may appear on nhsportshouse.com, on our social media accounts, and in our marketing materials.

If you prefer that your participant not be included, email admin@nhsportshouse.com before participation begins and we will make reasonable efforts to honor that request. We cannot control photography by other families, visiting teams, or other third parties on our premises.

9. Data Retention

We keep account, registration, and transaction records for as long as your account is active and afterward as needed for accounting, tax, insurance, and legal purposes. Emergency and medical notes are retained only while a participant is enrolled and for a reasonable period afterward. Marketing contacts are kept until you opt out.

10. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, including access controls, secure connections on our website, and payment platforms that handle card data on our behalf. No system is completely secure, and we cannot guarantee absolute security of information transmitted to us online.

11. Your Choices and Rights

You may:

  • Ask what personal information we hold about you or your participant.

  • Ask us to correct information that is out of date or inaccurate.

  • Ask us to delete information we no longer need for a legal, accounting, or safety purpose.

  • Opt out of marketing email and text messages.

  • Ask that your participant be excluded from our promotional media.

Send requests to admin@nhsportshouse.com. We may need to verify your identity and your relationship to a participant before acting on a request.

Residents of states with comprehensive privacy laws, including California, Colorado, Connecticut, and Virginia, may have additional rights regarding access, deletion, correction, and opting out of targeted advertising. We honor these requests through the same email address. We will not discriminate against you for exercising any privacy right.

12. Third Party Sites

Our website may link to other sites, including team pages, registration platforms, sponsors, and social media. We do not control those sites and are not responsible for their privacy practices. Review their policies before providing information.

13. Changes to This Policy

We may update this Privacy Policy as our programs, systems, or legal obligations change. The current version will always be posted on nhsportshouse.com with a new "Last Updated" date. Material changes will be communicated by email or a notice on the site.
